How to make an invoice
- Fill in your business and your client, and add a logo if you like.
- Check the invoice number and dates, and choose the currency and payment terms.
- Add each item with its quantity and price, and any discount and tax rate.
- Pick a template and a colour, then download the PDF or print it. It’s saved in this browser, so next time you can copy it.
Questions
Are my invoices uploaded or stored anywhere?
No. The PDF is made by your browser on this device. Your business details, clients, items and past invoices are kept in this browser’s storage, never on our servers, so nobody else can see them. They stay until you delete them or clear this site’s data, so use Download backup to keep a copy.
Is an invoice made here legally valid?
It’s a commercial invoice: a clear request for payment with what clients and accountants usually expect, such as a unique number, dates, your tax ID and the tax at each rate. In many places that’s all you need. In some countries a tax invoice only counts when it’s issued through an official system: in Brazil a nota fiscal (NF-e for goods, NFS-e for services) has to be issued through the official tax systems, in Mexico an invoice with tax value is a CFDI certified by the SAT or an authorized provider, several other Latin American countries work the same way, and Spain is bringing in rules for invoicing software (Verifactu) and electronic invoices between businesses, with dates that have already moved more than once. This tool doesn’t issue those official documents, so check what applies where you work.
How do the invoice numbers work?
Each business you save has its own counter. The next number follows the last one you issued and keeps your format: INV-0009 is followed by INV-0010, and FAC-2026-41 by FAC-2026-42. You can type any number, and the page tells you if a saved invoice already uses it.
How are discounts and taxes worked out?
Discounts come off before tax: first each line’s own discount, then a discount on the whole invoice, shared out over the lines. Each tax rate is then charged on its discounted lines and rounded once, to the currency’s smallest unit. A tax on the whole amount, such as ISS, or a withholding such as Spain’s IRPF, is worked out on the net amount.
Can I invoice in any currency?
Yes: any current ISO 4217 currency, written the way your language writes amounts. Totals round to each currency’s decimals, so none for the Japanese yen and three for the Bahraini dinar. Where the PDF’s font has no symbol for a currency, its code is printed instead, such as INR.
Which languages and characters can I use?
The PDF uses Helvetica and Times, which every PDF reader has built in, so the text stays sharp and can be searched and copied. They cover English, Spanish, Portuguese, French, German and the other Western European languages with all their accents. Letters outside that set, such as Polish ł or Greek, are replaced with the closest plain letter, and the page tells you which.
How do I move my invoices to another computer?
Open “Saved in this browser” and choose Download backup. It saves a JSON file with your businesses, clients, items, documents and logos. In the other browser, choose Import backup and pick that file. Nothing passes through our servers.
